("Vaaya," "we," "us," or "our") operates the Ask Paxo platform, including the website at AskScouty.com, the Ask Paxo voice assistant, and all related services (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.
By accessing or using the Service, you acknowledge that you have read, understood, and agree to be bound by this Privacy Policy. If you do not agree with the terms of this Privacy Policy, please do not access or use the Service.
2. Information We Collect
We collect information in several categories:

- Phone number (required for verification and call functionality)
- Name and any other identifying information you provide during signup or calls
- Reason for using the Service (e.g., relocating, visiting for work)
b. Voice & Conversation Data
- Audio recordings of phone and browser-based voice calls with Paxo
- Transcriptions of voice conversations
- Call metadata (duration, timestamps, call type)
- Preferences and requirements expressed during conversations (e.g., budget, neighborhood, move-in date)
c. Rental Search Data
- Housing preferences (location, price range, amenities, lease duration)
- Neighborhood preferences and lifestyle requirements
- Search history and rental matches presented to you
d. Device & Technical Data
- IP address, browser type and version, operating system
- Device identifiers and device type
- Referring URLs and pages visited within the Service
- Time zone and approximate location (derived from IP address)
e. Usage Data
- Interaction logs, features used, and session timestamps
- Click patterns, navigation paths, and time spent on pages
- Error logs and performance data
f. Cookies & Similar Technologies
We use cookies, local storage, and similar technologies to maintain your session, remember your preferences, and improve your experience. You can control cookie preferences through your browser settings, though disabling cookies may limit certain features of the Service.
3. How We Use Your Information
We use the information we collect for the following purposes:
- Service Delivery: To provide, operate, and maintain the Ask Paxo voice assistant and rental search functionality, including generating personalized rental recommendations.
- Identity Verification: To verify your identity via one-time passwords (OTP) sent to your phone number.
- Personalization: To remember your housing preferences, past conversations, and search criteria across sessions so Paxo can pick up where you left off.
- Communication: To contact you about your account, rental matches, Service updates, and to initiate or receive voice calls through the Service.
- Service Improvement: To analyze usage patterns, diagnose technical issues, and improve the quality of AI-generated recommendations.
- Safety & Security: To detect, prevent, and address fraud, abuse, security incidents, and technical issues.
- Legal Compliance: To comply with applicable laws, regulations, legal processes, and enforceable governmental requests.
4. Voice Recordings & AI Processing
Ask Paxo is an AI-powered voice assistant. When you interact with Paxo via phone or browser call, your conversation is recorded, transcribed, and processed in real time to provide you with relevant rental recommendations and conversational assistance.
What is recorded: All voice interactions with Paxo, including audio and generated transcriptions.
How recordings are used: Recordings are used to (a) deliver the Service in real time, (b) store your preferences and conversation history so Paxo can provide continuity across sessions, (c) perform post-call analysis to improve recommendation quality, and (d) improve the overall quality and safety of the Service.
Third-party AI providers: Voice data may be processed by third-party AI service providers, including speech-to-text, text-to-speech, and large language model providers. These providers are contractually bound to use your data solely for the purpose of providing services to Vaaya Inc. and are prohibited from using your data for their own training purposes.
Consent: By initiating or accepting a call through the Service, you consent to the recording and processing of your voice data as described in this section. If you do not consent to recording, please do not initiate or accept calls through the Service.
Deletion: You may request deletion of your voice recordings and conversation history at any time by contacting us at privacy@vaaya.ai.
5. AI Training & Model Improvement
We may use aggregated and de-identified conversation data to improve the quality, accuracy, and safety of our AI systems. When data is used for improvement purposes, it is stripped of personally identifiable information to the extent practicable.
We do not use your personal voice recordings or identified conversation data to train third-party AI models. Any data shared with third-party AI providers for real-time processing is used solely to deliver the Service and is not retained by those providers for model training.
If you wish to opt out of having your de-identified data used for service improvement, you may contact us at privacy@vaaya.ai with your request.
6. SMS & Phone Communications (TCPA Disclosure)
By providing your phone number and using the Service, you consent to receive (a) one-time password (OTP) verification messages via SMS, (b) AI-powered voice calls initiated by or through the Service, and (c) transactional communications related to your use of the Service.
You acknowledge and agree that voice calls through the Service use artificial intelligence to generate voice responses. Under the Telephone Consumer Protection Act (TCPA), AI-generated voices are classified as "artificial or prerecorded voices."
Consent is not a condition of service: You are not required to consent to marketing communications as a condition of using the Service. OTP verification and transactional messages are necessary for Service functionality.
Opt-out: You may revoke your consent to receive communications at any time by contacting us at privacy@vaaya.ai. We will honor your opt-out request within ten (10) business days. Message and data rates may apply for SMS messages.
No sharing of consent data: Your phone number, opt-in data, and consent information will not be shared with or sold to third parties for their marketing purposes.
7. How We Share Your Information
We do not sell your personal information. We are not a data broker. We may share your information in the following circumstances:
- Service Providers: We share data with third-party vendors who help us operate the Service, including cloud hosting providers, telephony and voice AI providers, speech-to-text and text-to-speech providers, SMS delivery services, database services, and analytics platforms. These providers are contractually obligated to protect your data and use it only for the purposes we specify.
- AI & Machine Learning Providers: Voice and text data may be processed by third-party AI providers to deliver real-time conversational and recommendation functionality. These providers process data on our behalf and under our instructions.
- Legal Requirements: We may disclose your information when required by law, regulation, subpoena, court order, or other governmental request, or when we believe disclosure is necessary to protect the rights, property, or safety of Vaaya Inc., our users, or the public.
- Business Transfers: In connection with a merger, acquisition, reorganization, bankruptcy, or sale of all or a portion of our assets, your information may be transferred as part of the transaction. We will notify you of any such change in ownership or control of your personal information.
- With Your Consent: We may share your information for any other purpose with your explicit consent.
8. Data Retention
We retain different types of data for different periods:
- Account data: Retained for the duration of your account and for up to 30 days following account deletion to allow for reactivation.
- Voice recordings & transcriptions: Retained for up to 90 days after the call, unless you request earlier deletion or unless retention is required by law.
- Conversation memory & preferences: Retained for the duration of your account to provide continuity across sessions. Deleted upon account deletion request.
- Usage and analytics data: Retained in aggregated or de-identified form for up to 24 months for service improvement purposes.
- Legal and compliance records: Retained for the minimum period required by applicable law.
You may request deletion of your data at any time by contacting us at privacy@vaaya.ai. We will process your request within 30 days, subject to any legal obligations that require us to retain certain information.
9. Data Security
We implement commercially reasonable technical and organizational security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include:
- Encryption of data in transit (TLS/SSL) and at rest
- Access controls limiting personnel who can access personal data
- Regular security assessments and monitoring
- Secure data storage with reputable cloud infrastructure providers
- Authentication and authorization controls for internal systems
Despite these measures, no method of transmission over the Internet or method of electronic storage is completely secure. We cannot guarantee the absolute security of your information. If we become aware of a security breach that affects your personal data, we will notify you in accordance with applicable law.
10. Your Privacy Rights: California Residents (CCPA/CPRA)
If you are a California resident, you have the following rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA):

- Right to Limit Use of Sensitive Personal Information: You may request that we limit the use of sensitive personal information to purposes necessary to provide the Service.
- Non-Discrimination: We will not discriminate against you for exercising any of your CCPA/CPRA rights.

You may also designate an authorized agent to submit requests on your behalf. We will respond to verifiable requests within 45 days.
We honor Global Privacy Control (GPC) signals as a valid opt-out of sale/sharing request where applicable.
11. Your Privacy Rights: Other US States
Residents of Colorado, Connecticut, Virginia, Utah, Texas, Oregon, Montana, and other states with comprehensive privacy laws may have similar rights to access, correct, delete, and opt out of certain processing of their personal information. To exercise any applicable rights, please contact us at privacy@vaaya.ai. We will process your request in accordance with the applicable state law.
12. International Users
The Service is primarily designed for users in the United States. If you access the Service from outside the United States, please be aware that your information may be transferred to, stored, and processed in the United States where our servers are located and where data protection laws may differ from those in your jurisdiction.
If you are located in the European Economic Area (EEA), United Kingdom (UK), or Switzerland, we process your personal data on the legal bases of (a) your consent, (b) the necessity of performing our contract with you, (c) our legitimate interests in operating and improving the Service, and (d) compliance with legal obligations. You have the right to access, rectify, erase, restrict processing, data portability, object to processing, and withdraw consent. You also have the right to lodge a complaint with your local data protection authority.
13. Children's Privacy
The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from anyone under 18 years of age. If we become aware that we have inadvertently collected personal data from a person under 18, we will take steps to delete that information as quickly as possible. 14. Do Not Track Signals
Some browsers transmit "Do Not Track" (DNT) signals to websites. Because there is no common industry standard for interpreting DNT signals, the Service does not currently respond to DNT signals. We do honor Global Privacy Control (GPC) signals as described in the California residents section above.
15. Third-Party Links & Services
The Service may contain links to third-party websites, services, or rental listing platforms that are not operated by Vaaya Inc. We have no control over, and assume no responsibility for, the content, privacy policies, or practices of any third-party sites or services. We encourage you to review the privacy policies of any third-party sites you visit.
16. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. We will notify you of material changes by posting the updated policy on this page with a revised "Last updated" date. For significant changes, we may also provide additional notice (such as an in-app notification or SMS). Your continued use of the Service after the effective date of any changes constitutes your acceptance of the updated Privacy Policy.
